Leading South Wales accountancy firm Clay Shaw Thomas is aiming to become a paperless office by the end of 2008 with the help of Invu Document Management software and ePayslips, both being provided by leading accountancy software provider Star Computers.
David Thomas, a director of the Bridgend based firm, explains “The continued growth of the firm means we need more space for people and have less space for filing cabinets. At the same time, we recognise that immediate access to all client related correspondence and email will raise further the high standards of client service we are renowned for.”
IT Consultant, Jonathan James, adds “We are also doing our bit for the environment. Anyone who has worked in an office has seen the enormous volumes of paper that get printed, most of which is either thrown away or filed. We expect to make drastic reductions in the amount of paper we produce, saving paper and printing costs. Time spent filing paper will also be eliminated”
Invu Document Management software is widely installed across the accountancy profession, being used by around 500 firms across the UK. Overall Invu has some 2,500 sites in the UK and overseas. Invu will share client information with the Star Practice Management software which the firm have used successfully for some ten years, eliminating the need to maintain client details in two separate systems.
Continuing the paperless theme, the firm is also adopting Star’s ePayslips service, where staff will have 24/7 access to current and previous payslips from a secure web site. Clay Shaw Thomas is beginning by using ePayslips for their own staff and will offer the service to clients on their payroll bureau. “As well as the time and effort required to print and distribute our payslips, there has always been a management overhead to ensure confidentiality around the production of the payslips. With ePayslips all this is removed” comments director Gwyn Williams. Clay Shaw Thomas has also used Star’s bureau payroll software, Payroll Professional, for over ten years and ePayslips extends the services the firm can provide through its use of Payroll Professional.
